Office Assistant Job Description
The Office Assistant is responsible for supporting the administrative processes and assisting in the day-to-day operations. This is a part-time, non-exempt, entry level position. Work hours will be Monday through Thursday with evening and possible weekend & holiday hours as required. The office manager will report to the gym manager and perform the following responsibilities:

Essential Functions:
- Daily oversight of daily business operations.
- Provide excellent customer service and help to create and maintain a welcoming and professional environment.
- Work effectively with parents and staff to develop and maintain parents' confidence in the staff and program, including collecting information and preparing reports and correspondence as needed.
- Submit and process registration , transfers, drops, annual fees, new hire paperwork. Prepare handouts, Emails, Calendars and keep bulletin boards up to date. Keep track of customer and staff information, including forms and incident reports.
- Assist with planning, organizing and implementing programming throughout the year, including classes, teams, break programs, late nights, summer camp and special events.
- Learn and be able to use the Jack Rabbit system for checking rosters ,attendance and understanding member status. Proactively update and maintain the Gymnastics program database.
- Keep track of inventory, including equipment, Office Supplies,first aid supplies, program supplies and Pro shop supplies & sales.
- Maintain the safety and cleanliness of the gym and submit maintenance and office supply requests when needed.
- Participate in training sessions and attend mandatory meetings as scheduled.
- Work closely and in partnership with the Gym Owner, Gymnastics Director and Cheer Director.
- Work effectively with Directors to ensure everything is organized for Summer Camp, including enrolment flyers ,Calendars and Unform orders.
- Support and fully participate in the culture of the organization. Be available for special assignments including assisting other departments with events.
- Regular, predictable attendance is required.
- Perform other duties as assigned by supervisor(s).
- GED or high school diploma required.
- Two years of office management experience preferred.
- Experience working with children preferred.
- Knowledge of gymnastics & cheer preferred but not required.
- High level of proficiency in Microsoft Office, Google Docs and Canva
- Strong interpersonal, written, and verbal communication skills.
- Detail oriented. Able to work in a fast-paced and changing environment.
- Flexible and able to handle multiple projects at the same time.
- Ability to understand the relationship of information and its effect throughout all processes and programs.
- Capacity to assist in planning events and activities.
- Be consistent and reliable in arrival and attendance to assure the proper operation of the program.
- Must be flexible with work schedule in order to participate in special programs, staff meetings and department and agency wide events.
- Must be able to lift up to 50 pounds.
- Maintain confidentiality in all aspects of the position.
- Proven track record of utilizing good judgment and decision making skills to be able to work independently.
- Must have a proven track record of intermediate accounting and math skills to process payments and assist with invoices, purchase orders and budgeting.
- Current American Red Cross First Aid, CPR and AED certificates or ability to obtain certification
